Privacy Policy
Last updated: 23 October 2026
This policy explains what personal data Exeter Notify collects, why, who it's shared with and what your rights are. We keep it to what we need to run the service.
1. Who we are
Exeter Notify is an independent service based in the United Kingdom. We are the "controller" of your personal data under UK data protection law.
Contact: [email protected]
2. What we collect
- When you subscribe: your email address, the plan you choose, your subscription and payment status, and the billing details Stripe asks for (such as your name and card country). Your card details are handled by Stripe. We never see or store your full card number.
- When you join on Telegram: your Telegram user ID, username and display name, the email address you send our bot to verify your subscription, and whether you're a member of our groups.
- When you email us: your email address and whatever you include in your message.
- When you visit the website: our website doesn't use cookies, analytics or tracking. Like all websites, our hosting provider and font provider (Google Fonts) receive your IP address and browser details so they can deliver the page.
3. Why we use it, and our lawful basis
| What we do | Lawful basis |
|---|---|
| Take payment, set up your subscription, verify you on Telegram, add you to the right group and send you alerts | Contract: we need it to provide the service you paid for |
| Send service emails: welcome, joining instructions, payment and renewal notices | Contract |
| Remove you from the group when your subscription ends, stop invite links being shared, and let you back in if you re-subscribe | Legitimate interests: protecting the service and our paying members |
| Reply to your questions and handle cancellations and refunds | Contract and legitimate interests |
| Keep payment and accounting records | Legal obligation: tax and accounting law |
We don't send marketing emails, sell your data, or use it for advertising or profiling.
4. Who we share it with
Only with the services we use to run Exeter Notify:
- Stripe: payments and subscription management (Stripe's privacy policy)
- Telegram: our bot and members groups, where alerts are delivered (Telegram's privacy policy)
- Resend: sending our emails to you
- Our website host and Google Fonts: delivering the website
We may also share data if the law requires it, for example with HMRC.
5. International transfers
Some of these providers process data outside the UK, including in the United States. Where they do, the transfer is protected by safeguards approved under UK law, such as the UK International Data Transfer Agreement or Addendum, or the UK–US data bridge.
6. How long we keep it
- While you're subscribed: everything we need to run your membership.
- After you cancel: we keep your email address and Telegram user ID so we can restore your access if you re-subscribe and stop old invite links being misused. You can ask us to delete them at any time.
- Payment and accounting records: 6 years, as UK tax law requires.
7. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you
- correct anything that's wrong
- delete your data (unless we have to keep it, for example for tax records)
- restrict or object to how we use it
- send your data to you or another provider in a usable format
Email [email protected] and we'll reply within one month. It's free.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113. We'd appreciate the chance to sort it out first.
8. Security
We use reputable providers, keep access to member data to the minimum, and never store card details ourselves.
9. Age
Exeter Notify is for people aged 18 or over, as the events we cover are for over-18s. We don't knowingly collect data from anyone under 18.
10. Changes to this policy
If we change this policy, we'll update the date at the top. If a change affects how we use your data in an important way, we'll tell members by email or in the Telegram group.
